What to do when The Work Number has no record of the applicant's employer?

Treat a Work Number miss as leftover outreach. Confirm it is a real miss, independently find the employer’s HR or payroll number, work phone, email and fax in parallel, and close the file as verified or as a documented non-response with the attempt log.

This is the leftover job for a verifications manager at a mid-size background-check firm on TazWorks or AIO Data that already buys The Work Number and still has restaurants, trucking shops and small LLCs in the queue.

What a no-record result actually means

Equifax’s own social-services verifier FAQ, read 2026-10-09, defines the message. It means Equifax Verification Services has no record on file for the Social Security number and employer code that were entered. Recheck both. If they are correct, the employer has not sent a record for that employee. A new hire usually will not appear until after the first paycheck. Equifax’s next instruction on that same FAQ is to contact the employer’s human-resources department.

That is a coverage gap, a code mismatch, a freeze, or a hire that has not hit payroll yet. Superunit’s State of Employment Verification 2026, from 200,000+ verifications in its own order mix, says about 65% of files still needed calls, emails or faxes, and about one in three resolved in an instant database. When a named third-party platform was used, 73% of the time it was The Work Number.

Equifax lists more than 5.06 million contributing employers and 839 million-plus employee records on theworknumber.com, read 2026-10-09. The database answers in seconds when it holds the record. The restaurants, trucking shops, five-person LLCs and phone-tree employers in the leftover queue are the files it does not hold.

Confirm the miss before you spend the TAT

A miss on a diner or a five-truck shop is the usual leftover. A miss on an employer that contributes every pay cycle is a different file. Recheck the order before the first dial.

  • Wrong SSN or employer code. Equifax’s FAQ tells you to verify both. A transposed digit returns the same “record not found” as a diner that has never contributed.
  • Employer-of-record name. A PEO, a staffing firm, or a DBA can be the name on the W-2. The applicant listed the store. The database listed the PEO, or listed nothing after the PEO relationship ended.
  • Freeze. Equifax’s freeze page, read 2026-10-09, lets a consumer block verifiers at no cost. A freeze can look like a miss. Equifax tells the consumer a freeze may slow a job, loan, or benefits decision. Ask the client whether they want the applicant pointed at a lift, or whether leftover outreach should run on the signed authorization you already have.
  • Too new. Equifax says a new employee usually will not appear until after the first paycheck. A start date last Tuesday is a chase, even at a contributor.

Log the cause on the TazWorks or AIO Data order so the next specialist does not restart from a cold Google.

A Work Number lookup is also a paid lookup. The Work Number’s pricing page, read 2026-10-09, says pay-as-you-go prices “start at $73.45 for some reports” for 250 or fewer applicants a year. Enterprise pricing, where every CRA actually sits, is unpublished. Superunit’s 2026 report, citing ClearStar, puts the customer fee around $105 after 1 January 2026. You have already spent that on the miss. The leftover still has to move.

Find HR independently, then work phone, email and fax together

Start outreach the day of the miss. A written form that sits for two days is two days of TAT with no attempt on the log.

Find the number yourself. Listed main, secretary-of-state filing, and the payroll-vendor page, compared against each other, then document the source on the order. The number the applicant typed is a lead. It is the number a roommate can answer as “this is HR.”

Once you have a number, run the channels together.

  • Phone. Work the tree to payroll or the owner. Superunit’s 2026 report, on 56,000-plus business-hours calls, puts completion per call at a peak at 11am employer-local time. Bland’s 19,363-call test, which Superunit published in September 2026, put first-call completion at 4.19% on Bland Speech v3. The file closes on the fourth, fifth, or eleventh try.
  • Email. Superunit’s mix puts email at about 52% of leftover outreach and phone at about 46%. Send the signed authorization while the tree is holding.
  • Fax. Superunit sees fax on about 4% of leftover files. Small offices still live there. A blank income line on the return fax queues the recorded call.

A completed leftover in that dataset took a median of 5 touches. Seventeen percent of completed files needed 11 or more. Restaurants and food service completed at 54%, transportation and logistics at 49%. Schools and government confirmed about three in four. Those last two are rarely the leftover of a TWN miss.

Each order needs the applicant’s signed authorization and a permissible purpose under 15 U.S.C. § 1681b before outreach starts. Business lines are the default. Truework’s help center, read 2026-10-09, lists standard VOE at $59.95 and VOI at $64.95, with a $19.95 VOE reverification. That cascade still leaves small-employer files for outreach. Superunit’s pay-on-success price is the lowest published leftover rate, and it bills only when the source confirms, so a file that never confirms stays on the CRA’s TAT. An experienced specialist who already knows the hard employers is worth what they cost.

What a closed leftover file has to contain

A voicemail is not a result. The file can leave the queue in two states.

Verified. Employed as of the call, title in the employer’s wording, dates, and income when the employer will disclose it. Superunit’s 2026 report says 1 in 10 submitted titles is one the employer will not confirm, and 1 in 4 date pairs is off by six months or more. Post the employer’s wording. Store the recording, the transcript, and the attempt log on the order.

Documented non-response. Who was called, when, the phone tree, emails, faxes, and the recording of every live conversation, time-stamped through the client’s SOP. That is an unable-to-verify the compliance team can defend. It is also how the TAT clock can stop.

Mortgage leftover on the same miss

Fannie Mae Selling Guide B3-3.1-04, dated 10/07/2026, read 2026-10-09, still requires a verbal verification of employment for each borrower using employment income, with the check no more than 10 business days on or before the note date. Announcement SEL-2026-09, also 10/07/2026, removed the prescribed methods. Lenders may use a method that is reasonable, verifiable, and appropriate for the borrower’s employment or income type. The timing did not move. If the required verification cannot be obtained before loan delivery, the loan is ineligible for sale to Fannie Mae.

How many times should I call before I close the leftover as unable to verify?

Does a payroll login replace leftover outreach after a Work Number miss?
